Do you cringe at the word “taxes”? I get it. It’s one of those adulting things that just sucks. Taxes are tedious, stressful, and ridiculously easy to put off until the last minute. And if you’re a business owner? Forget it—it’s a whole other level of paperwork overload.
Between hunting down forms, gathering receipts, and prepping before handing it off to your accountant, it can feel never-ending. Even as a Certified Professional Organizer, I’ve felt disorganized when it came to taxes. I worried I was missing something, making a mistake, or leaving money on the table. Sound familiar?
That’s why I designed a simple, repeatable system to keep my paperwork organized so tax season doesn’t feel like a nightmare.

1. Don’t Overcomplicate It
For every single thing in our lives, there’s an app or software that promises to make it easier and faster. But that only works if it fits your routine. This year, I realized I needed to let go. I’ve had accounting software for years, but something always went wrong, causing hours of redoing work—plus categorizing expenses at the end of the year because I never worked it into my routine.
Sometimes, the “easy” solution adds stress. For me, going back to good old Excel and spreadsheets works better. Know when to bring technology in—and know yourself well enough to decide if it’s realistic to add it to your routine.
2. Know Yourself
Accepting your own workflow quirks is key. I know this software adds stress and prep time rather than saving it. Instead of forcing a tool that doesn’t fit, I’m embracing a method that works for me. Be honest with yourself—sometimes the simplest solution is best.
3. Create Your Own Personalized Tax Prep Sheet
This is your roadmap. Whether you do your taxes yourself or hand them off, having a personalized sheet ensures nothing slips through the cracks. I use Excel, but you can also use Google Docs, notes apps, or paper—whatever works for you. Make it reusable so it evolves with your tax situation.
Part 1: The Ultimate Tax Checklist
Make a list of every tax form and document you need, broken down by category:
✅ W-2s, 1099s, other income forms
✅ Bank and investment statements
✅ Mortgage, property tax, and home deductions
✅ Business expenses and receipts
✅ Charitable donations
✅ Forms for dependents, medical expenses, or other deductions
Pro Tip: Add two checkboxes for each item: Received & Verified. If you upload documents to a portal, add a third for that.
